When planning promotional mugs for a trade fair or company event, do not turn the total visitor count directly into an order quantity. First decide whether gifts go to every visitor, registered attendees or selected contacts after a conversation. This guide helps estimate distribution needs before requesting a quotation; it does not define minimum orders or production terms.

Write the distribution rule first
“Everyone at the event” and “one mug for each person on the invitation list” produce different requirements. Record the recipient group, the number per person and the person responsible for distribution. At a multi-day event, do not count the same returning person as several recipients. List staff use and speaker gifts separately where relevant.
If you have not chosen a model, review the ceramic mug collection. Individual gifts and mugs used for shared beverage service require different calculations.
Deduct only stock that is actually usable
Count the mugs available for this event, not every mug in storage. Do not automatically deduct items with an old campaign date, a different logo, an existing allocation or an unchecked condition. If different models may be distributed, record the event team’s agreement to that choice.
A practical calculation is: new purchase requirement = planned distribution + separately justified reserve − existing stock available for this job. If the result is negative, treat the new purchase requirement as zero. The final quantity still needs to be assessed against the model and printing terms.
Do not assume a fixed reserve percentage
No reserve percentage fits every event. Record why you are allowing for additional invitees, internal use or another specific need. Avoid counting the same uncertainty in both the attendee estimate and the reserve line.
This example illustrates the method only: assume 180 mugs for unique recipients, 12 for the organising team and a justified reserve of 8, with 30 suitable mugs already available. The new purchase requirement is 180 + 12 + 8 − 30 = 170. These figures are not a recommended order quantity, minimum order or quotation.
Request separate scenarios for uncertain attendance
Separate confirmed recipients from people who have not yet responded. Ask the supplier to quote a baseline quantity and a higher-attendance scenario using the same model, printing and packaging. Do not assume a later top-up order will have the same price or schedule. Ask about the decision deadline and conditions for changing quantities.
Explain that you need time for receiving, checking and preparing distribution before the event. Confirm production and shipping schedules with the supplier rather than assuming them. Use the bulk mug quotation guide for the wider specification.
Have one owner confirm the final list
Record the recipient group, unique recipient count, quantity per person, staff needs, reason for the reserve, usable stock, new purchase quantity and approval date. If you need different artwork versions, split the total into quantities per design. Carry out a separate receiving check once the products arrive.
Request a quotation for your event quantity scenarios. Include the model link, baseline and alternative quantities, event date and required delivery location. Feasibility is confirmed during the quotation process.
